SUBJECT: Relocation Expenses
POLICY/PROCEDURE: Reimbursement of Faculty and Senior Staff Relocation Expenses

POLICY INSTRUCTIONS/EXPLANATIONS:
Each school or college has its own policy for determining eligibility of new faculty and staff for moving expenses. The letter of appointment will state whether the faculty member is or is not eligible and, when eligible, the amount that will be provided.
It is generally within the policy of the Vanderbilt Medical School to provide up to one month's stated salary for relocation expenses of faculty and senior staff. For departmental chairmen's purposes pertaining to relocation, the amount is determined by negotiation on a case by case basis.
This policy provides a guideline to the effect that not more than one month's stated salary will be paid in relocation expenses to faculty and senior staff. This is a guideline rather than a requirement or stated fringe benefit. It is subject to negotiation with the chairman and approval of the Dean's Office.
Not every recruitment effort involves the commitment to relocate the household goods of each faculty and senior staff, however, this policy does provide for that should the commitment to relocation be necessary. Specific to the Department of Biostatistics
The department offers recruitment and relocation benefits. It is important to note that receipts are required for reimbursement and there are no cash payouts. The following explains the expenses reimbursed by the department per category.
House-Hunting Plan: does not include interview trip(s)
- One trip for house hunting (round trip airfare): employee and immediate family members. The length of the house hunting trip is a max of seven days for reimbursement purposes. Offer letter must be approved by School of Medicine and signed/returned by recruit prior to house hunting trip approval.
- Lodging at The Embassy Suites at Vanderbilt (Cara Beasley at 615-277-4963 for reservations)
- Car rental
- Reasonable meal expenses will be reimbursed. Maximum amounts per traveler, per meal, per day are:

Alcoholic beverage costs are considered personal expenses.

- If permanent housing is not available: temporary lodging up to one week
Notes: 1) Should the faculty member rescind acceptance they will be responsible for reimbursement of any costs associated with house hunting visit.
2) If employee leaves before completing a year of employment, he/she will be responsible for repayment of relocation cost to the department on a prorated basis.
